On-site Scanning and Storage Solution for Healthcare Provider Improves Access to Patient Records

The Records Management department at McIndoe has many of the same requirements as other healthcare providers in the country. The main goal of the department was to provide timely delivery of patient records to consultants and hospital staff whilst the latter are preparing for a patient’s visit. Additionally, confidentiality of patient records is of utmost importance, both for reasons relating to the Data Protection laws and for the hospital’s own reputation as a superior provider.
KCL worked with hospital staff to implement a premises-based scanning solution which would be accessible to all records management employees. A mid-volume, desktop scanner allows for quick scanning and simple indexing, without encumbering the user’s work area. Captured data is then automatically loaded into a networked retrieval application for unlimited access by records management users.
As hospital staff prepare for a patients arrival, records request are passed to the department via daily lists or emails. The Records Management staff then search for and retrieve the records and provide either electronic or hard-copy versions of the documents, depending on the requestor’s wishes.
